When opening a CollabPro project, the File Manager dialog will automatically open. This is where you can manage files in a CollabPro Project. This dialog will always stay on top of the main CET window.
All Files vs Open Files
There are two main parts to the dialog. To the left is All Files, and to the right, Open Files.
Each side show files related to a Project, but in different ways.
All Files show files in your cloud storage. It is frequently updated to show all files currently stored in the cloud, and its status compared to Open Files.
Open Files shows the files in your computer. These include files created from your computer, and files you currently have open from the cloud.
Viewing and Editing Files
To open files from the cloud in your computer to view or edit, simply select the files from All Files and click the or
button.
Closing Files
You can close files by clicking on the Close button while having the files selected, or by right clicking on the file and selecting Close.
Closing a file that has a counterpart in the cloud means discarding changes done locally in your computer. Whereas closing a file that is created fresh from your computer simply means deleting it without saving any changes.
Save Version / Upload Saved Version
To save, click on the Save all button within the CollabPro File Manager. A new dialog will pop up, showing all the files that have changes.
Each file that is being saved is tied to a comment to describe the changes. This is useful for understanding the Project's version history. After adding a comment, click the Save button.
After Saving, when hovering over the Saved status, a tooltip will say "Available on this machine only". This is to indicate that your changes have been saved, however they have not yet been uploaded to the project. Saving without uploading means your changes will not be seen by other users.
The benefit of saving your files locally prior to uploading has special uses, such as being able to revert to previous versions.
To upload your saved changes, click on the Upload all button. After uploading, your changes will be visible for the rest of the people collaborating on the project, the status will be listed as Uploaded, and hovering over the status will read "Shared with others".
The Release checkbox simply means changing any of the files to Read-Only state, giving other users the ability to start editing it.
If there are newer versions in your computer where you have saved but didn't upload, you can upload it by using the Upload saved version button.
Learn more about Versions in the guide article.
Update All Open Files
What happens if you have open files that are now outdated compared to the files in the cloud? You can choose to update them by clicking the Update all button.
Editing Files
The files under Open Files show their state. You can only edit files that are in an Edit state, signifying you are now editing them, and no other user can edit it until it has been released.
Files showing the View only state opens the file for you to see, and still allows for editing if someone else opens the file in Edit mode. You can toggle between states by clicking on the icons.
You'll have to toggle some files to View only
Duplicating Files
Open Files that are in an Edit state can be duplicated by clicking the Duplicated as New Section button:
This will create a new section with the exact number of products at the same location along with any referenced files, and the section name will have the suffix ' - Duplicate 1' You may rename the duplicate if desired. Duplicating the same section again will increment the suffix to ' - Duplicate 2' and so on.
File Statuses and States
Each file in All Files has a File state and a Sync status.
File State can have three states:
• Opened
• Locked
• "-" (no state)
Sync Status can have three states:
• Cloud icon: Will update once viewed
• Circle with check mark (black and white): Default state
• Circle with check mark (color): Auto-syn
Each file in Open files has a File state.
File State can be:
• Not saved
• Saved
• Uploaded
• Latest
• Outdated
Labels
Labels are a method to categorize files. Each file can have multiple labels and can share labels with different files.
This can be done by selecting open files that are currently in Edit mode, then clicking the Manage labels button, then entering or selecting labels of your choosing.
Queries
Sometimes, projects can get BIG, making it really difficult to manage.
That's where queries and filters come to save the day!
Queries can be made in the text box with the text Enter query here
Clicking into it shows you different methods of querying:
| Query Method | Description |
| State |
State of the file. Example: |
| Label |
The labels assigned. Example: |
| Name |
The name of the file. Example:
|
| Type |
Type of the file. Example: |
Methods then require operators to determine the value(s):
| Method Operators | Description |
| = | Equal to only a single value. |
| != | Does not equal to that specific value. |
| in | Includes any of these values. |
| !in | Does not include any of these values. |
| , |
Indicates an additional value to consider. Only for in and !in. Example: |
Then we can further add conditions by using conditional operators:
| Method Operators | Description |
| () |
Groups multiple conditions to prioritize logical execution. Or to make it look neat! Example: |
| not() |
Groups multiple conditions to prioritize logical execution, then reverse the answer. Example: |
| and | Searches files meeting all methods. |
| or | Searches files meeting any methods. |
| xor |
Searches files meeting methods that have differing values. Example: |
Filters
Now that you know how to make Queries, it's still annoying to constantly type is out.
Filters help you save these Queries!
After typing out a Query, you can save it as a filter by clicking the 3 dotted line at the end of the query box, then click on Save filter
.
You should see an additional tree view with your newly named filter.
Double-clicking on the name will immediately load your Queries.
A Custom Filter can also be further queried.
