CollabPro Paper Manager is available for users with the Organization or Enterprise level of the CollabPro Extension. This includes an online document approval process that allows users to track changes and approvals at each stage.
A tab for Approval will appear for those subscribers in the MyConfigura Projects page:
The Manage Paper Releases button will also be available in the File Manager within CET, as shown below:
Clicking on the Manage Paper Releases button will open a new dialog window. The dialog will be empty if no paper group is created or loaded in the Open Files section of the File Manager. Once a paper group is available there are three options available for working with the papers.
There are three buttons on the right side of the Manage Paper Releases dialog window. These are:
1. Submit for approval
2. Withdraw submission
3. Revise
The Submit for approval button will only be enabled if a paper group is selected in the list, and that paper group has been uploaded to the server. If the paper group has not yet been uploaded, a warning will appear when hovering over the button.
After clicking the Submit for approval button, a revision description dialog window will open.
Enter your revision description then click Set description and submit.
After submitting, the paper group's state will be automatically changed to "Read-only" in Open Files and when hovering over the paper group will show that the Stage is Pending. In the Paper Releases Manager dialog window the Stage will appear as "Pending", and the submission information will be listed in the Information section at the bottom of the window.
After submitting a paper group for review, the paper group will be hidden from the paper space until approved.
When a paper group is pending approval, it will appear in the MyConfigura Approval tab of the CollabPro projects page as shown below:
Clicking on the the name of a paper group in the Approval tab will take you to the Preview page. This page will have a preview of the papers created in CET, along with the Progress history of the submissions.
At the bottom of the progress history there will be a comment box with "Check" and "Reject" buttons. The person managing the paper groups can enter a comment then select Check or Reject. If a paper group is marked as Checked or Reject, a notification will be sent to the users letting them know. If a paper group is marked as Reject it will become editable again in the File Manager and will need to be resubmitted for approval. The Stage of the paper group will be changed to Checked, and the Information section of the Paper Releases Manager will show the checked date and time in the history.
After checking the paper group, when viewing the preview in the Approval tab within the MyConfigura Projects page, the options at the bottom of the Progress history will now show as "Approve" or "Reject" along with an optional comment box.
If a paper group is marked as "Reject" it will become editable again in the File Manager and will need to be resubmitted for approval and will also need to go through the Checked stage again. If "Approve" is selected, a notification will be sent to the users similar to the Check step, letting them know the paper was been approved. The Stage of the paper group will be changed to Released and the Information section of the Paper Releases Manager will show the approved date and time in the history.
To withdraw the paper group submission at any point before being approved, click the "Withdraw submission" button in the Paper Release Manager dialog window.
Once a paper group has been updated to the "Released" stage, the "Revise" button will be enabled in the Paper Releases Manager as shown below:
Revising a paper group will reset it's stage, requiring the Check and Approval process before being released again. Revising will also advance the Revision name.
