In your CollabPro MyConfigura page, you can manage your roles, users, and projects.
Only administrator has access to Manage Roles and Admin Configurations pages.
Manage Roles
Permission Page - Roles
Roles are groups of performable actions administrator can define and assign to another user. You can access this by clicking on Manage > Roles.
Click on Create Role to enable certain performable actions this role can execute. Name the role in the top bar, then select down arrow next to Collaboration Pro to expand the list of actions. Each action can be further explained by clicking on the blue information button beside each action. You may add a user with this new role directly by adding their email address and clicking Add. When creating a new role, you can enable Auto Assign. When this is selected, the role is automatically assigned to newly invited users and newly created projects and an “Enabled” label will appear on the Permissions page.
Permission Page - Users
Under Manage Roles, the User tab lists all users you have invited by the Invite users button.
Here you can search each user up, edit their roles, or remove the user from your list.
Clicking on the ellipse to the right of a user name will show the options to Edit or Remove:
Clicking on Invite users will show:
Invited users will automatically be assigned to available seats and receive an email invitation to access the project. They should receive an email invitation to the project and after accepting the invitation they will be redirected to the CollabPro page created by the admin.
In addition, there will be an error displayed if the number of invited users exceeds the available seats.
Please note that users with the appropriate permission can delete projects directly from the project list.

To modify the roles associated with an existing project, navigate to the Access tab on the Permissions page.
Manage Projects
Admin Configurations Page
Administrator can access this by clicking on Manage > Admin Configurations
Administrators can create and manage pre-defined Project Labels from the Admin Configurations page.
Project Labels are labels that help organizations categorize project information consistently.
Using Project Labels helps standardize project data across your organization, making projects easier to organize, search and filter. Common examples include:
Project ID
Customer Name
State
When creating a pre-defined Project Label, administrators may choose from the following field types:
Single Select
A pre-defined list of options is configured by the administrator. Users select one value from the available options when creating or editing a project.
Example:
Field: State
-
Options:
Execution
Finalized
Text Input
Users can enter their own value when creating or editing a project. This option is useful when the available values cannot be predefined or may vary between projects.
Example:
Field: Customer Name
Entry: XYZ Corporation
Important
After a label configuration is saved, administrators cannot edit or delete existing Project Labels or option values. This restriction helps maintain data consistency across projects that already use the configured labels.
If a different label or set of options is required, create a new Project Label or add new option values instead of modifying existing ones.
Administrators can still perform the following actions after a label configuration has been saved:
- Reorder existing project labels.
- Reorder existing option values within a project label.
- Add new option values to existing project label.
- Change whether a Project Label is Mandatory or Optional.
Note: Carefully review label and option values before saving, as existing labels and option values cannot be edited or removed once they have been created.
Creating and Editing a Project
When creating or editing a project, user with create project access may see the following fields:
Project Name – The name of the project.
-

- To modify the roles of an existing project, go to the Access tab under the Permissions page.
-

Project Listing and Search Page
Note: You can only view projects that you have permission to access.
Basic Search
Use Basic Search to find projects by entering text that appears in the Project Name or Project Labels.
Example
Searching for 2026 returns projects where the project name or a project label contains 2026.
For example:
- A project named Warehouse 2026
- Any project with a label value of Year: 2026
Basic Search looks for the text you enter in the Search field and returns matching projects.
Advanced Search
Use Advanced Search to find projects using multiple search criteria. Click Show Advanced Search to display additional search fields.
Advanced Search combines criteria as follows:
- Multiple values in the same row are combined using OR.
- Each additional search row is combined using AND.
Example
Search for projects where:
- State is Execution OR Finalized
- AND the project contains the freeform label 2026
This search returns only projects that:
- Have a State of Execution or Finalized.
- Include the freeform label 2026.
In other words, the search works as:
(State = Execution OR Finalized) AND (Freeform Label = 2026)
To search by project name, enter the project name or keyword in the Basic Search field. The Basic Search term is combined with the Advanced Search criteria, allowing you to further refine your search results.
Advanced Search helps you quickly find projects that match specific combinations of project states, labels, project names, and other project information, making it easier to locate the projects you need.
