The Template Editor window can be separated into 2 distinct areas:
- Menu tabs with the associated tool ribbons
- Working Paper Area
Template Editor Menu Tabs
File Menu
The File Menu tab contains the main tools for opening, closing, and saving Print Template files when edited and closing the Template Editor window.
New: Creates a new Template (.XML) file containing a single, blank report.
Open: Choose an existing Print Template from the ProjectSpec > Print Template folder to modify in the Template Editor.
Save: Saves the open Print Template (.XML) in the last save location, indicated by the source path at the top of the Edit Template window.
Save As: Saves the Print Template (.XML), along with permitting the user to rename the Print Template and/or change the save location.
Close: Shuts the current open Print Template (.XML), and will provide a prompt to Save. The Edit Template window closes, but Spec remains open.
Recent Template Files: Lists the 10 most recently opened Print Templates (.XML). You can open that Print Template for editing by left-clicking on the Print Template name.
Save and Exit button: Saves all changes to reports and the open Print Template in addition to closing the Edit Template window.
Exit: Closes the Edit Template window. Users will be prompted to save the changes made to the file.
Home Menu
The Home Menu tab contains tools similar to the File Menu, but includes the ability to Print Preview the selected report.
Preview: Shows a Print Preview of the currently selected report.
New: Creates a new Template (.XML) file containing a single, blank report.
Open: Choose an existing Print Template from the ProjectSpec > Print Template folder to modify in the Template Editor.
Save: Saves the open Print Template (.XML) in the last save location, indicated by the source path at the top of the Edit Template window.

Design Menu
The Design Menu tab houses tools for adding and editing a variety of individual data fields, image fields, and text fields.
Edit tools
Preview the selected report, Copy, Paste, Cut, Delete, data fields, labels, and/or images, Undo, and Redo data fields, label, and/or image edits. The tools activate when a field in the report is selected.
Font tools
Stylize, size, and edit the font in a single data field.
Style & Size: Select the Font style and size from the drop-menus. The styles include any that are saved for use on the computer.
Resize buttons: increase or decrease the font size by 1 pt.
Text Formatting buttons: make the text in the selected data field(s) bold, italics, or underline.
Alignment buttons: align the text in the selected data field(s) to the left, center, or right of the cell.
Color buttons: change the color of the font, the background color of the selected data field(s), or adopt the style of the main selected data field.
Data tools
Tools for grouping and sorting data, as well as adding information to reports regarding creation information.
Sorting grouping: add grouping and sorting to a report for the ability to print subtotal information without adding subtotal lines to the spreadsheet in Spec. Click the Sorting grouping button to open the dialog and add it to the report.
Report Info: add report specific information including the report's Title, Author, Subject, Creator, and Keywords. The information can be applied to all reports in the Print Template by checking the Apply this information to all checkbox at the bottom of the dialog. Click Save to save or Cancel to close the dialog without saving the information.
Fields Tools
These tools permit users to add a variety of data fields, labels, images, and other objects including lines, boxes, pre-calculated fields, and sub reports.
Label: add a static text field that appears the same every time the report is printed
Sub Reports: add another report into a section of a report; most commonly used for cover pages, report headers, page footer, and Terms & Conditions.
Option Data Fields & Swatches: add specific Option data fields from a drop-down menu to the report. Swatches will add specific swatch images per line item in the report. These tools only activate when working in an Option Report.
For use in Option Reports only!
Insertion fields: a variety of tools to add specific visual elements to a report.
- Barcode: Insert a variety of bar code symbols. Select the specific bar code value from the drop-down in the Property Grid for the bar code data field. The size of the data field must be large enough to display the full bar code for it to populate in the data field.
2. Add Sub Total Field ( ∑ ): Insert the pre-calculated subtotal data field for List/Base List, Customer, Dealer, and Margin fields. These fields can only be placed in a Group footer area, but can be moved to other report areas once placed.
3. Add Common Calculated Field {a} : Insert a data field that is automatically calculated based on report generated fields.
- Date/Time Print: field populates the date and time the report is printed.
- Date/Time Created: field populates the date and time the project was created.
- Page number printing: automatically generate the page number, page count, or page 'n' of 'm' when the report prints.
- Report name: automatically populates the name of the report on the report when it is printed.
- Item Number: numbers the lines in ascending order based on the report's Grouping and sorting preferences, regardless of the line item number in the spreadsheet.
4. Add a Page Break: Insert a page break into any section of the report.
5. Add Unbound Picture: Insert a .PNG or .JPEG or .JPG file into the report. This is a static image and will always appear the same when printed.
6. Bound Picture Fields: Insert and image that is generated from the spreadsheet or catalog data including Part image, Status Icon, grouping icons, and up to 10 manufacturer provided swatches.
7. Add a Rectangle: Insert a rectangle shape to create a box or border around information in a report. The thickness of the rectangle line can be adjusted in the Properties Grid.
8. Add a Line: Insert a line in any section of the report. Adjust the thickness and length using the stretch nodes and Property Grid for the line.
Tools
These buttons allow for quick navigation through the views available in the Reports window.
Property Grid: Displays the properties for full reports, selected report sections, or selected data fields. Allows users to adjust, modify, and manually program information into the properties.
Field List: Displays the list of data fields available for placement in the Details section of the reports.
Report List: Displays the list of reports contained in the open Print Template.
Layout Tools
These tools permit users to add a multiple column format to the report. Users can format the report to contain up to four columns.
Group Images & Custom Fields
Group Images and Custom Fields are additional image and notes fields for use in reports. These are for images and information that cannot be generated by the spreadsheet, but are valuable in portraying the design or project. Group Images and Custom Fields are found on the Project Info tab of Spec.
Group Images permit users to place the saved images from Grouping on the Project Info tab in Spec into a report. As a reminder, each group (Tag1, Tag2, etc.) can save up to four images.
Custom Fields allow users to insert additional images and notes fields from Project Info. In Spec, navigate to the Project Info tab. When the dialog opens, click the Images tab. The images and custom note fields on this tab are the images and notes available as the Custom Fields in Template Editor.
Arrange Menu
The Arrange Menu tab has tools to organize, arrange, align, and stylize the data fields and report sections. These tools allow for the most detailed and customized report branding - giving each report the look the user wants.
Edit tools
Preview the selected report. Copy, Paste, Cut, Delete, Undo, and Redo selected data fields, labels, and/or images. The tools activate when a field in the report is selected. The Preview works the same as the Preview on the Design Menu tab.
Auto Style tools
Create defined font and report section styles to represent branding or highlighting of information.
Styles: Report specific looks are created or selected from the list in the Styles dialog window. Once the Style is selected from the list, click Apply to save the Style to the report. Click Cancel to close the Styles dialog without saving a Style to the report. This tool is commonly used to add alternating line color to a report.
Apply Style: Copy/Paste tool allowing a user to copy and paste the style of one data field and apply it to any other selected data fields. The tools is inactive until a data field is selected. Multiple fields can be selected by holding CTRL and left-clicking the data fields to select them.
To select multiple fields, lines, or all fields in a report area:
- Left-click and drag the selection box over the desired data fields and shapes.
- The style of the main selected data field - indicated by light purple boxes - is the style that will be applied to all other fields.
As Table Row: A tool to align two or more data fields into a table row. The tool is inactive until at least two data fields are selected.
Grid Tools
The Grid Tools adjust the look of the working paper grid affecting how the data fields interact with the working paper space.
Snap to Grid: Click the button to activate/deactivate the tool. When moving a selected data field in a report section, main grid lines will highlight bright pink while other grid lines will show as faint pink to reference for data field placement.
Show Grid: Click the button to turn the gridlines off or on in the working paper space.
Lock Fields: With a data field selected, click the Lock Fields button to lock the data field to that place on the working paper space. A lock icon will appear in the bottom right corner. With the locked data field selected, click the Lock Fields button to unlock the data field.
Control Alignment Tools
These tools move data fields to match the edges of multiple data fields to line them up in the given direction. The data fields will adjust to the selected main data field, indicated by the light purple stretch nodes on the data field.
Position Tools
These tools adjust the spacing between data fields, or move data fields to layer on top of or behind one another.
Equal: Horizontal or Vertical - the space between the beginning of the first selected data field and the last selected data field is split evenly between all selected data fields.
Increase: Horizontal or Vertical - the space between each data field is made larger at an equal rate from the main selected data field in the selected direction - left/right for horizontal, up/down for vertical.
Decrease: Horizontal or Vertical - the space between each data field is made smaller at an equal rate from the main selected data field in the selected direction - left/right for horizontal, up/down for vertical.
Bring to Front: Move the selected data field, label, image, or shape to the top layer of text. This object will cover and obscure objects behind it.
Send to Back: Move the selected data field, label, image, or shape to the bottom layer of text. The other objects will be legible through the object in back. This is often used for watermark identification on a report.
Size Tools
These tools adjust the size of the data field to match the main selected data field or to the grid of the working paper space.
To Grid: Aligns the top left corner of the selected data field(s) to the nearest grid line intersection.
Size to Grid: Adjusts the size of the selected data field(s) to fit into the nearest gridlines. This may make the data field size larger or smaller depending on the placement of the data field within the grid to start.
To Tallest/Shortest: Sizes the height of all selected data fields to the tallest/shortest data field in the selection regardless of whether or not it is the selected main data field.
To Widest/Narrowest: Sizes the length of the data field(s) to the widest/narrowest data field in the selection regardless of whether or not it is the selected main data field.
Page Setup Menu
These tools are used for setting up the usable paper space for a report, including paper orientation, margins, and printer selection.
Edit Tools
Preview the selected report. Copy, Paste, Cut, Delete, Undo, and Redo selected data fields, labels, and/or images. The tools activate when a field in the report is selected. The Preview works the same as the Preview on the Menu tab.
Page Layout Tools
Modify the layout and properties of the paper the report is printed on.
Orientation: Select either Portrait or Landscape. Reports must be created in the orientation they will be printed. Reports cannot be automatically converted from one orientation to another.
Page Setup: Open the dialog to select the printer, paper layout, and set margins for individual reports.
Template Editor Working Paper Area
The Template Editor Working Paper Area is the main editing space for reports. There are 2 distinct regions in this area:
- Report Window - contains the Reports Toolbar, Reports List, and the Data Field tabs.
- Working Paper Area- contains the paper layout and the Rulers.
Report Window
This window houses all the tools needed to create and edit reports, as well as sorting, saving, and importing reports to the Print Template file folder.
This window can be minimized by clicking the pushpin icon in the top right corner of the window.
Reports Toolbar
This toolbar is located at the top of the Reports window. Tools here create, save, copy, and sort the reports found in the Reports list.
New: generate a new, blank report at the bottom of the Reports list.
Option Report: generate a pre-formatted report specifically for Options to insert as a subreport.
Import Report: bring in a report from a different Print Template file to include or edit in the open Print Template File.
Save: save edits and changes to the report currently selected in the report list, default keyboard shortcut is CRTL+S.
Cut: remove a report from the Print Template file to paste in a different Print Template file.
Copy: Create an additional copy of the report from the Report list to paste into a Template file (new, current, or other existing Template).
Paste: add a copied or cut report to the Report list of a current, new or existing Template file.
Delete: permanently remove the selected report from the Report list and the Template file.
Sort: change the order of the reports in the report list to alphabetical or reverse alphabetical.
Up Arrow: move selected report up in the Reports list.
Down Arrow: move the selected report down in the Reports list.
Reports List
The list of reports that are created, copied, or imported from another Print Template file folder. The reports are the printed product of the Print function in Spec.
By default, when a new Print Template is created, a single report titled Report 1 is listed in this area.
To rename a report:
- Double click on the Report Name,
- Type the desired Report Name.
- Press Enter to keep the name.
Data Field Tabs
Reports: displays the Report list specific to the open Print Template file.
General: contains the data fields for information from the Project Info ribbon and the Project Info Addresses tab.
Sales/Order: contains the data fields for entries from the Sales information and Order information tabs in Project Info.
Notes/Charges: contains the data fields for entries from the Notes information and Charges information tabs in Project Info.
Detail: contains the data fields for entries from the columns in the spreadsheet view of Spec including Part Details, Option Details, Tagging Groups, Shipping, etc.
Price: contains the data fields that pull the catalog price information along with any discount percentages or dollar values.
Total: calculated data fields for totaling all pricing, discounting, charges, and taxes in the spreadsheet and Project Info. There are also fields for summarizing Option fields.
Property: Report section or data field specifics and properties for formatting the section or data field(s).
Working Paper Area
The Working Paper Area is defined as the grid area where all the data fields and labels are placed, styled, and arranged to create the layout for the final printed reports. The Working Paper Area is determined by paper orientation, paper size, and the margins.
The Rulers delineate the edges of the paper. It is recommended to limit the Working Paper Area to the actual paper size.
Rulers
The Rulers are present as a guide for report papers. They are located at the top of the Working Paper Area and the left side of the Working Paper Area. The rulers are measured in inches.
Top Ruler - measures the width or top edge of the paper space. The total width of the printable paper is indicated by a small triangle at the margin boundary.
Side Ruler - measures the length or side edge of the paper space. The total length of the paper is indicated by adding up the length of each report section. There is no marker to indicate the end of the paper.
