This article covers the tools on the Project Information section of the Project Info tab. For details on the Grouping Information, also provided on this tab, see Grouping.
Project Info
Project Info provides fields for various addresses, notes, and charges that will be used in the Reports and Print Templates provided in Spec.
To save any changes made and close the dialog, click Apply. To close the dialog without saving the changes, click Close.
Addresses
Company and address information can be entered for the Sold To and Ship To locations, as well as a third address. The company can be identified with a Type and Code. By default, the Type list is created with Customer, Vendor, Installer, and Manufacturer. However, this list can be modified by clicking the Edit button.
In the Company Type Editor, double click in a Type field to modify the contents. Double click in the blank field at the bottom to add a new Type. Click OK to save the changes and close the dialog. To remove a Type, click to select the field as shown by the black arrow, and Click Remove. Click Cancel to close the dialog without saving the changes.
Spec also provides an internal address book to save commonly used addresses. This can be used with the buttons at the bottom of each address section.
Load - Opens the 'Load Company' dialog or address book.
When the Load Company dialog is open, click to select a row as indicated by the black arrow. Click OK to select and load that information into the address fields for that section.
From the Load Company dialog, addresses can also be added or imported from a file.
OK - Loads the information from the selected row into the address section.
Save - Saves any changes made to the addresses.
Import - Opens a file explorer where a file can be selected to import. This can be in an Excel format, but the headers need to match exactly for the data to import correctly.
Delete - Deletes a selected row.
Close - Closes the Load Company dialog.
Update - Updates an existing contact with additionally entered information in the address book.
Add - Adds the entered address to the address book.
Reset - Resets and clears the fields in that address section.
Sales Info
Information about the project Sales, Design, and Account Manager can be entered and saved for reuse on the Sales Info tab.
Enter the information for the individual and click Save. Once a contact's information is saved, it can be recalled using the Select drop down at the top of each section.
To clear the field contents of a section and remove it from the drop-down list, click the Remove button.
Order Info
Other various Order Information specific to the Dealer, Customer, and/or Dates can be entered on the Order Info tab.
Notes
Eight single line note fields are provided for commonly used notes. These can be entered and will remain on the Notes tab across all projects. Click the checkbox to include the notes to print for each project.
Click the Edit box to edit the Notes fields.
Three Custom Note fields are provided for longer notes. The Custom Note fields are not limited by character, are individual to the project and do not save across all projects like Notes.
Images
Four Image fields with their own Custom Notes are provided for images related to the entire project. See the Group article for details about adding images related to individual Groups.
Click Browse Image to locate and select an image file.
Click Clear All Images to remove any loaded images.
Charges
Charges that need to be listed at the bottom of a quote in the totals section can be entered here. While the charges entered here do not show on the spreadsheet by default, they can be added to the SIF file upon Export by selecting the option in Settings.
There are various ways to enter percentage or flat rate charges.
Additional Charges
First, click Add New Charge to add another line of charges. Fill in the following fields as needed:
Description - This will also be the label for the charge on the Print Template report.
% - Enter the charge percentage. This field will show NA when entering a flat fee.
Apply to MFG - Select if the charge applies to all manufacturers or just a selected manufacturer.
Apply to CAT - Select if the charge applied to all catalogs or a specific catalog.
% of - Select which value the charge should be calculated from in the drop down. Choices include: Customer Sell, Dealer Purchase, or Unit List Price. This field will show NA when entering a flat fee.
Choice of - Select additional options for calculating the charge.
- Calculated will calculate the charge as indicated by the other fields.
- Limits can also be placed on the charge by selecting "If it is less than" and "But not to exceed".
- The selection of "Is equal to" creates a flat rate fee.
Bill To - Select which value to bill the charge to from the drop down. Choices include: Customer Sell or Dealer Purchase.
$Amount - Enter the amount of a charge that "Is equal to" or set other limits related to the Choice of field.
Taxable - Select whether or not the charge is taxable.
Include Charge - The list of charges will remain on this tab across all projects. However, to include the charge on a particular project, this box must be checked.
$Charge - When the Include Charge box is checked, this field will display the dollar amount that will be added to the project and shown on the Print Template report.
Minus Sign - Removes that charge line from Spec.
Tax
First, click Add New Tax to add another line of taxes. Fill in the following fields as needed:
Description - This will also be the label for the tax on the Print Template report.
Tax Rate - Enter the value for the tax rate.
Apply To - Select the value on which to apply the tax rate. Choices include: Customer Sell or Dealer Purchase.
Include Tax - The list of taxes will remain on this tab across all projects. However, to include the tax on a particular project, this box must be checked.
$Tax - When the Include Tax box is checked, this field will display the dollar amount that will be added to the project and shown on the Print Template report.
Minus Sign - Removes that tax line from Spec.
Totals - Dealer and Customer Totals for the Order, Charges, and Taxes are shown at the bottom section of the tab.
Dealer Info
Dealer Contact Info - Address and contact information for the Dealer can be entered on the Dealer Info tab. This will remain in Spec across all projects. As with the Addresses tab, this tab also uses the internal address book and can accessed with the Load button.
Open File Location
This opens the file explorer to the folder where the currently active spreadsheet is saved.
Title
This field is provided to enter a Title for a project that will then be shown on the top of the page with the Spreadsheet Print and various Print Templates and Reports- it is known as the Project Name.
