User Interface
- Settings: Configures CRM interfacing settings and object key mapping.
- Status: Displays the current Extension status; Connected or Not connected.
There is also a button for logging in our out from the CRM system. - Project Information: Displays the current project loaded from the CRM.
- Select Opportunity / Potentials: Download opportunity data into the project information.
- Automatically update when saving: Enables CRM Connect to automatically synchronize products data every time you save your drawing.
- Update Product Data: Populates your CRM's Products database with products currently in the drawing. If an opportunity / potentials is selected above, it will also synchronize products data line items in the currently selected opportunity.
- Upload New Quote: Specify and generate reports within CET and automatically upload them to your CRM system along with a CRM generated quote number.
- History: View past quotations related to this opportunity.
Using CRM Connect
To start using CRM Connect, press the Login button on the component tab. The CRM Connect window opens, then select Salesforce to the left, and you will be brought to the corresponding login page:
Enter your CRM credentials and proceed to log in.
Once you have logged in, all the CRM buttons in the component tab will be enabled. Clicking the Select Opportunity / Potentials button will bring up a dialog showing an overview of the accounts in your CRM system.
Selecting an account will display corresponding projects and other information, depending on your CRM object key mapping:
Click the Load Project button at the bottom of the dialog to load project information into CET.
Once the CRM’s project information is loaded, the Project Information section will be updated with the details of the selected project. You will also find the CRM’s project information automatically populated into CET’s Project Information dialog, and the information will also be used in generating reports.
Note: When loading an old drawing, CET will prompt you that the Project Information may be outdated compared to the data in the CRM system and hence, to ensure that the Project Information is current, please re-select the opportunity before performing tasks on an old drawing.
Generating Reports
CRM Connect is integrated with the print dialog of CET to provide convenient creation of reports (e.g. quotations) with automatically populated data.
Clicking on the Upload New Quote button will bring up the Print Reports dialog, which allows you to create reports and upload to the connected CRM system simply by clicking the Upload New Quote button.
You can select which attachments to upload by going to CRM Connect General settings and select to include the drawing and/or order export in Uploads. To attach PDF reports generated by CET, check the Upload PDF Reports checkbox in the component tab, and you can customize the report using the Options button.
Uploaded quotes can be viewed by following the underlined quotes shortcut link, or by clicking the History button, which shows a list of previously uploaded quotes as well as their product line items.
Products Data
Clicking the Updating product data button will populate your CRM's Products database with products currently in the drawing, with each line item being uploaded to the CRM. If an opportunity is currently selected, the currently selected opportunity’s product line items will also be synchronized. If no opportunity is selected, CRM Connect will only upload the data to the products database on CRM.
For Products: Existing products will be skipped, while new products that do not yet exist on the CRM will be uploaded.
For Opportunity Line Items: Existing products will be ignored, new products in the drawing will be uploaded to the CRM, while products removed from the drawing will be removed from the opportunity.
CRM Connect also allows you to automatically perform an update to product data every time you save your drawing. To enable this, check the Automatically Update When Saving checkbox in the component tab.
CRM Connect Settings
General: The General section includes settings to specify which attachments should be included when uploading quotes, such as drawings, as well as order export type.
Salesforce: This section allows you to specify the Salesforce Client Id, which is used by Salesforce to authorize access for external applications.
Advanced: This section allows your system administrator to define custom CRM object key-value mappings depending on your organization’s workflow. This section also contains functionality to reset settings and clear temporarily generated files for troubleshooting purposes.
